Acceptable Use Policy

1. Purpose and Scope

This Acceptable Use Policy (the "Policy") governs your access to and use of FleetFlow (the "Service"), a product operated by FORGEAI STUDIO LTD, a company registered in England and Wales, trading as "NovaStack" ("we", "us" or "our"). FleetFlow is powered by NovaStack.

This Policy applies to every person and organisation that accesses or uses the Service, including account holders, their employees, agents and any individuals to whom they grant access ("Authorised Users"). By using the Service you agree to comply with this Policy. It should be read together with our other legal terms, including our Terms of Service, Privacy Policy and Security page.

The purpose of this Policy is to protect the Service, our customers and the wider public, and to ensure that FleetFlow remains a secure, reliable and lawful platform for fleet operators.

2. Prohibited Activities

You must not use the Service, and must not permit any Authorised User or third party to use the Service, for any of the following:

  • Illegal activity. Any activity that breaches any applicable law or regulation, or that promotes, facilitates or encourages unlawful conduct.
  • Spam and unsolicited messaging. Sending bulk, unsolicited or unlawful communications, including spam, phishing or any messaging that breaches applicable marketing or electronic communications laws.
  • Fraud or misrepresentation. Engaging in fraud, deception or misrepresentation, impersonating any person or entity, or falsely stating or otherwise misrepresenting your affiliation with any person or entity.
  • Hacking and unauthorised access. Attempting to gain unauthorised access to the Service, other accounts, computer systems or networks connected to the Service, or conducting penetration testing, vulnerability scanning or similar activity without our prior written permission.
  • Intellectual property infringement. Infringing the copyright, trade marks, database rights or other intellectual property or proprietary rights of any person.
  • Malware and malicious code. Uploading, transmitting or introducing any virus, worm, trojan, ransomware or other malicious or harmful code, or any material designed to interrupt, damage, destroy or limit the functionality of any software, hardware or telecommunications equipment.
  • Harassment and abuse. Harassing, abusing, threatening, defaming or otherwise infringing or violating the rights of any other person, or posting content that is obscene, hateful or otherwise objectionable.
  • Misuse or overloading the platform. Misusing, overloading or interfering with the proper working of the Service; scraping, harvesting or systematically extracting data from the Service; or reselling, sublicensing or otherwise commercially exploiting access to the Service without our authorisation.
  • Circumventing security or usage limits. Bypassing or attempting to bypass any security measure, access control, rate limit, usage limit or other restriction we apply to the Service.

3. Customer Responsibility for Users and Data

You are responsible for all activity that occurs under your account and for the conduct of your Authorised Users. You must ensure that your Authorised Users are aware of and comply with this Policy.

You are solely responsible for the accuracy, quality, legality and appropriateness of all data and content that you or your Authorised Users upload to, store in or process through the Service ("Customer Data"). You must hold all rights, consents and permissions necessary to provide that Customer Data to us and to have it processed through the Service.

4. Monitoring and Enforcement

We do not routinely monitor the content of Customer Data. However, we reserve the right to investigate suspected breaches of this Policy and to monitor, review and, where necessary, remove content or restrict activity that we reasonably believe breaches this Policy or any applicable law, or that poses a risk to the Service, our customers or third parties.

Where we are required to do so by law, or by a competent regulatory or law-enforcement authority, we may disclose information relating to a suspected breach.

5. Consequences of Breach

If you or any of your Authorised Users breach this Policy, we may take any action we consider appropriate, including:

  • issuing a warning;
  • temporarily or permanently suspending access to all or part of the Service;
  • removing or disabling access to offending content;
  • terminating your account and any associated agreement in accordance with our Terms of Service; and
  • taking legal action and cooperating with relevant authorities where appropriate.

Where it is reasonable to do so, we will give you notice before taking action. However, in cases involving security threats, unlawful activity or risk of harm, we may act immediately and without prior notice.

6. Reporting Abuse

If you become aware of any actual or suspected breach of this Policy, or of any misuse of the Service, please report it to us by email at support@fleetflowtech.com. Please include as much detail as you can so that we can investigate promptly.

7. Changes to this Policy

We may update this Policy from time to time to reflect changes in the Service, applicable law or our operating practices. Where changes are material, we will take reasonable steps to notify you. The "Last updated" date at the top of this page shows when this Policy was last revised. Your continued use of the Service after any update constitutes acceptance of the revised Policy.
