Refund Policy

1. Overview

This Refund Policy explains how billing, cancellations and refunds work for FleetFlow (the "Service"), a product operated by FORGEAI STUDIO LTD, a company registered in England and Wales, trading as "NovaStack" ("we", "us" or "our"). FleetFlow is powered by NovaStack.

All fees are charged in pounds sterling (GBP) and payments are processed by our payment provider, Stripe. This Policy should be read together with our Terms of Service. Nothing in this Policy is intended to exclude or limit any rights you may have that cannot be excluded or limited by law.

2. Free Trials

Where we offer a free trial, you will not be charged during the trial period and no refund is needed for the trial itself. If you do not wish to be billed, you must cancel before the trial ends. If you do not cancel, your plan will convert to a paid subscription and you will be charged in accordance with the plan you selected.

3. Monthly Plans

Monthly subscriptions are billed in advance at the start of each monthly billing period. You may cancel at any time, and your cancellation will take effect at the end of the current billing period. You will retain access to the Service until the end of the period you have already paid for.

Monthly subscription fees are generally non-refundable, including for partial billing periods or for periods during which you did not use the Service, except where a refund is required by applicable law. We do not provide pro-rata refunds for cancellations made part-way through a billing period.

4. Annual Plans

Where an annual plan is offered, it is billed in advance for the full annual term. Annual fees are generally non-refundable. We may, at our discretion, offer a pro-rata refund for the unused portion of an annual term in certain circumstances; any such refund is granted on a discretionary, case-by-case basis.

Your statutory rights are preserved in full and nothing in this section limits any refund you are entitled to by law.

5. Cancellation

You can cancel your subscription at any time from within the Service by going to Settings → Billing, or by managing your subscription through the Stripe customer portal where available. Once you cancel, your subscription will not renew for the next billing period, and you will continue to have access to the Service until the end of the period you have already paid for.

6. Billing Errors and Duplicate Charges

If you believe you have been charged in error, charged the wrong amount, or charged more than once for the same subscription, please contact us at support@fleetflowtech.com as soon as possible. We will investigate promptly and, where a genuine billing error or duplicate charge has occurred, we will correct it and issue any appropriate refund without undue delay.

7. Statutory Rights

Nothing in this Policy affects any statutory rights you have under UK consumer protection law that cannot be lawfully excluded or limited. Where you contract with us as a consumer, you may have additional rights, including certain rights to cancel and obtain a refund.

FleetFlow is primarily provided in a business-to-business (B2B) context. Where you contract with us as a business, some consumer-only rights may not apply; in that case the terms of this Policy and our Terms of Service govern refunds, subject always to any rights that apply under law.

8. How to Request a Refund

To request a refund, please email us at support@fleetflowtech.com with your account details, the relevant invoice or payment reference, and the reason for your request. This helps us locate your payment and assess your request quickly.

9. Response Times

We aim to acknowledge refund requests within a reasonable time, typically within five business days. Where a refund is approved, it will be returned to your original payment method via Stripe. The time taken for the refunded amount to appear on your statement depends on your bank or card issuer and is outside our control.
